Office Administrator Opportunity


Furtado & Associates, a consulting engineering firm located in Seattle with over 30 years in business, is looking for a full-time Office Administrator to support office activities in our downtown Seattle office. Our services are in high demand and with our upcoming project load expanding, we are seeking a qualified office administrator to join our team.

Job Responsibilities:
This position is responsible for providing general administrative support with additional supporting responsibilities that may include Human Resource, Accounting and Marketing functions depending on experience. Due to the COIVD-19 situation, this position will most likely begin with a remote work arrangement (i.e., working from home).
Job responsibilities will include but are not limited to:
  • Manage front desk activities and provide general administrative support to our employees.
  • Manage administrative communications and correspondence (telephone, e-mail, letters)
  • Word processing to include formatting memos for internal and vendor correspondence using various software programs
  • Purchase office equipment and supplies when requested or needed
  • Assist in maintaining employee and company records and filings
  • Maintain administrative filing systems
  • Update office calendars and schedules
  • Oversite and maintenance of office equipment, vehicle records and equipment insurance
  • Support coordination of field staff training compliance
  • Coordination and preparation of internal meetings/luncheons
  • Assist in administration of health and benefit plans including enrollments, terminations and/or distributions when applicable
  • Maintain strict confidentiality with regard to Human Resources and payroll issues
 
Qualifications & Requirements:
  • Graduation from high school or GED, Bachelor’s degree preferred
  • Proficiency in Microsoft Office including Excel, Word, and Outlook
  • Excellent written and verbal communication skills
  • Ability to use Microsoft Excel and Word for record keeping and reference purposes
  • Willingness to learn industry specific software
  • Proficiency with editing PDFs (BlueBeam preferred)
  • Ability to work standard office/computer equipment and have knowledge of general office procedures, filing, grammar, and punctuation
  • Client-first attitude that focuses on working collaboratively within a team

Position Type/Expected Hours of Work
This is a full-time position, and hours of work and days are typically Monday through Friday 8:30 a.m. to 5 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:30 a.m. to 3:30 p.m.
