Job Responsibilities:
This position will be in our downtown Seattle office. You will be responsible for providing office, project and administrative support. You will assist and work daily under the supervision of a Survey Manager.
Job responsibilities will include but are not limited to:
Project Administration
- Assist Managers in the coordination of group and individual projects plans, schedules and budgets
- Monitor and assist the Managers with tracking the performance of all projects. This includes monthly Earned Value reports on projects as well as tracking other key project financial metrics.
- Assist in maintaining manpower/ labor workforce projection requirements and work with the group to forecast utilization and backlog
- Word processing to include formatting, compilation and production of technical reports, tables, memos, and client correspondence using various software programs within company published guidelines
- Use of Excel to maintain various project cost and forecasting spreadsheets
- Maintain content for project and group SharePoint sites as applicable
- Assist in contract support, project initiation, work plans and subcontractor coordination.
- Maintain electronic and hardcopy project files
- Coordinate archiving of electronic and hardcopy project files
- Maintain reference library
- Assist with project closeout
Administrative
- Establish and maintain project filing systems
- Updating project and manager calendars and schedules
- Maintain office/field equipment/vehicles records
- Assist with training/seminar requests
- Collect local mileage and equipment usage logs monthly and submit to Accounting
- Meeting coordination and preparation for the group
- Assist or lead company sponsored events
- Other duties as assigned
Qualifications & Requirements:
- Bachelor’s Degree in related field desired with 3 years’ experience or a minimum of 6 years’ experience in project administration
- Proficiency in Microsoft Office including Excel, Word, and Outlook, and have intermediate knowledge of MS Project and PowerPoint
- Proficiency with editing PDFs (in BlueBeam preferred)
- An understanding of project management and excellent written and oral communication skills are a must
- Prior experience in the surveying or consulting engineering industry preferred
- Ability to work standard office/computer equipment and have knowledge of general office procedures, filing, grammar, and punctuation
- May require overtime during high demand periods
