Proposal Administrator 


Are you a dependable, resourceful, and detail-oriented technical writer with proposal experience?  Lin & Associates, a consulting engineering firm located in downtown Seattle with over 30 years in business, is looking for a full-time Proposal Administrator to assist with proposal creation and provide project coordination in our office. Because we are a small business, great proposal submittals are essential for our success and growth. With our services in high demand, we need a qualified Proposal Administrator to join our team.

Job Responsibilities:
This position will be located in our downtown Seattle office. The ideal candidate will be an experienced technical writer with exceptional written and verbal communication skills. Because we are a small firm, much of this work will be self-directed and self-motivated. This opportunity is great for someone who is interested in redefining or redeveloping current strategies and materials to optimize proposal production. This position requires a significant amount of creativity, research, communication, innovation, and resourcefulness.
Job responsibilities include, but are not limited to:
  • Produce engaging and accurate promotional content within required time-frames
  • Proofread proposals and source documents to ensure accuracy, quality writing, and clear focus
  • Manage correspondence and submittals during the proposal process
  • Create compelling designs and layouts for marketing and proposal materials
  • Understand and communicate technical concepts and terminology accurately to an uninitiated audience
  • Collaborate and effectively communicate with decorum to a wide range of professionals both internal and external to the organization
  • Provide administrative support as needed, which includes file management, project correspondence, fee and scope submittals, and various other duties. As a small business, it is essential that our staff picks up tasks as needed and are team players

Qualifications & Requirements:
  • 2-4 years of proposal writing for a professional services firm required and a background in an Architecture/Engineering/Construction industry preferred
  • A mastery of punctuation, mechanics, grammar, word usage, and syntax
  • Proficiency in Microsoft Office (Excel, Outlook, Word) required
  • Proficiency in PDF manager (Adobe Acrobat or Bluebeam) required
  • Exceptional organization and communication skills
  • Bachelor’s degree in English, Business Communication, or related field or discipline preferred
  • Willingness to assume additional office responsibilities as needed
